Which office admin is worth automating with AI, and which is not

Use AI for admin that means reading many records and writing up what they show, such as drafting monthly and quarterly reports and finding figures that don't add up. Admin that must be exact every time, like invoice numbers, payments and ledgers, belongs in plain software with fixed rules. Either way, your data has to be in one system first.

What makes admin a good fit for AI?

AI is good at reading a lot of records and writing up what they show. Admin that fits has three things in common:

  • The data already exists. The figures are recorded somewhere AI can read them.
  • The output is a draft. A report or a list of things to check, which a person reads before anything is acted on.
  • It takes a person a long time. Going through a month of entries to write a summary, or hunting for the one figure that doesn't match.

What should stay plain software?

Admin that must come out exactly the same every time. Invoice numbering, payment records, ledgers and accounts follow fixed rules, and plain software follows them the same way every time. AI adds nothing there except a chance of getting it wrong.

Sijjil Travels, a Hajj and Umrah operator in Chattogram, is an example. Its system uses no AI. It handles bookings and packages, invoicing with controlled invoice IDs, payments, accounting and a reporting dashboard, and season close went from about two weeks to hours.

How does IMAGE use AI for its finance reports?

IMAGE Social Welfare Organisation is our founder's own organisation. It runs five primary healthcare clinics in Chattogram, and each clinic enters its daily income and expenses into the same system. That system is what makes the AI useful.

On top of that system, IMAGE uses Claude, Anthropic's AI model. Claude can read IMAGE's financial data, and it:

  • Drafts the monthly finance reports.
  • Drafts the quarterly finance reports.
  • Runs checks on the figures to find discrepancies.

Read the clinic operations system case study for the system underneath.

Why does the data have to be in one place first?

AI can only report on what it can read. If bookings are in WhatsApp, payments are in a notebook and invoices are in separate Word files, there is nothing for it to read reliably. At IMAGE, the finance figures for all five clinics sit in one system, and that is what Claude reads. The system pays off on its own, too: it cut IMAGE's finance reporting from about two weeks to one day.

Should I start with AI or with a system?

Start with where your hours go. The Admin Audit spends a week finding that, then gives you a plain plan for what to fix first. For most organisations the first fix is a system that holds the data in one place, and one workflow goes live in 30 days at a fixed price quoted after the audit. If a $30-a-month tool solves your problem, we'll tell you to buy it.

Questions

What office admin is AI good at?

Work that means reading a lot of records and writing up what they show. Drafting monthly and quarterly finance reports and finding figures that don't add up are two examples we use in our founder's own clinics.

What admin should not be done with AI?

Anything that must come out exactly the same every time: invoice numbers, payment records, ledgers and accounts. Plain software with fixed rules does that more reliably and costs less to run.

Does Bizonix put AI into client systems?

Not so far. The AI we run today is in our founder's own organisation, IMAGE, for its finance reports. The client systems we have built, like Sijjil Travels', run on plain software.

Which AI does IMAGE use for its reports?

Claude. It reads IMAGE's financial data, drafts the monthly and quarterly reports, and runs checks to find discrepancies.

Do I need a new system before I can use AI on my admin?

You need your data in one place. If it lives in WhatsApp threads, notebooks and separate spreadsheets, the first job is getting it into one system. AI can only report on records it can read.
