Custom ERP, Odoo or ERPNext: which should your organisation choose?
Choose Odoo or ERPNext when your processes are standard, such as accounting, inventory, HR and sales, and you have someone to configure and maintain them. Choose a custom ERP when your core workflow is one they don't model, like pilgrim groups, visa batches and sub-agent ledgers, or when you'd customise so heavily that upgrades break.
What are Odoo and ERPNext?
Odoo and ERPNext are ERP systems with open-source roots. Both come with modules for the standard parts of running an organisation: accounting, inventory, HR and sales. You configure the modules to fit how you work, and someone has to maintain that configuration over time.
When should you choose Odoo or ERPNext?
Choose one of them when both of these are true:
- Your processes are standard. Accounting, inventory, HR and sales that work much like they do in most organisations.
- You have someone to configure and maintain it. That can be a staff member or an implementation partner, but someone has to own it.
If that describes you, a standard tool is likely the better choice, and we will tell you so.
When is a custom ERP the better fit?
Choose custom in two situations:
- Your core workflow is one they don't model. For a Hajj and Umrah operator, that means pilgrim groups, visa batches and sub-agent ledgers. These are the centre of the business, not a side module.
- You'd customise a standard tool so heavily that upgrades break. At that point you are maintaining custom software anyway, inside someone else's product.
Where does the money actually go?
With Odoo or ERPNext, the licence is cheap. Implementation is the real cost: the work of configuring the system to fit how you operate, and keeping it maintained.
With a custom build from Bizonix, you pay a fixed price, quoted after the Admin Audit. The audit fee is credited against the build. One workflow goes live in 30 days, and if it's late, we keep building free until it's live. You own the code, the data and the accounts.
How do they compare?
| Custom ERP | Odoo or ERPNext | Spreadsheets and WhatsApp | |
|---|---|---|---|
| Best fit | A core workflow standard tools don't model | Standard processes: accounting, inventory, HR, sales | What you already have |
| Pilgrim groups, visa batches, sub-agent ledgers | Built around how you run them | Not modelled out of the box | Tracked by hand |
| Where the cost goes | The build, at a fixed price quoted after the Admin Audit | Implementation and configuration; the licence is cheap | Staff time |
| Heavy customisation | Built to your process from the start | Can break upgrades | Not applicable |
| Who maintains it | Us, on the optional Keep Automating plan, or you | Someone you have to configure and maintain it | Whoever keeps the files |
What about staying on spreadsheets and WhatsApp?
There is nothing new to set up, but the cost shows up in staff time. Sijjil Travels, a Hajj and Umrah operator in Chattogram, ran bookings across WhatsApp, Word templates and Excel, with payments in notebooks. Every staff member invoiced differently, and season close took about two weeks. On the custom system we built, season close takes hours.
How does the Admin Audit decide?
We spend a week finding where your team's hours go, then give you a plain plan. That plan says which of the three options fits you. If a standard tool fits, we say so, even though it means we don't build anything. If we can't find 10 hours a week to save, the audit is free.
If the answer is custom, see how we build custom operations systems for Hajj and Umrah operators.
Questions
Is Odoo or ERPNext cheaper than a custom ERP?
The licence is cheap. Implementation is the real cost: configuring the system to fit how you work, and keeping it maintained. Compare the full cost of getting each one live and running, not the licence.
When is a custom ERP worth it?
When your core workflow is one Odoo and ERPNext don't model, like pilgrim groups, visa batches and sub-agent ledgers. Or when you'd customise a standard tool so heavily that upgrades break.
Can Bizonix tell us to use Odoo or ERPNext instead?
Yes. If a standard tool fits, we say so. The Admin Audit is where that gets decided, and if we can't find 10 hours a week to save, the audit is free.
